Client Operations Specialist

Surrey, BC

As Client Operations Specialist for ICBA Benefits, you will be supporting one of the largest Third Party Administrators in Canada, and will be responsible for a variety of key functions including: onboarding new clients, assisting clients with Short and Long-Term Disability and Life Insurance claims ensuring all required paperwork is received within time limits, reporting service levels for the organization, andperforming complex mail-merges for mass communications. All these duties involve uncompromising service levels and deadlines, and require a high degree of accuracy, and an innate adeptness with systems, applications and data. Client Service Representative

Surrey, BC

As a Client Service Representative for ICBA Benefit Services Ltd., you are responsible for delivering exceptional service to our clients and agents. You will be responding to inquiries about benefit coverage (what’s covered on the plan, who is eligible for coverage, etc.), explaining payments for Health and Dental claims, providing instructions to clients about how to administer their plan and submit claims, and resolving customer problems. Hour Bank – Client Service Representative

Surrey, BC

As a Client Service Representative for ICBA Benefits, you will be supporting one of the largest Hour Bank Plans in Canada (CIBP) and will be responsible for delivering exceptional service to our clients and agents. You will be responding to inquiries about benefit coverage (what’s covered on the plan, who is eligible for coverage, etc.), explaining payments for Health and Dental claims, providing instructions to clients abouthow to administer their plan and submit claims, and resolving customer problems. 25% of this role is spent on the phone, with the remaining portion of your day being spent responding to email inquiries and troubleshooting customer issues. For nearly 45 years, the Independent Contractors and Businesses Association (ICBA) has been the voice of B.C.’s construction industry. Today, ICBA represents more than 4,000 members and clients, and is one of the leading third-party providers of group health and retirement benefits in B.C. and the single largest sponsor of trades apprentices in the province. ICBA undertakes public policy research and advocacy initiatives focused on the construction sector and responsible resource development.

Summary

As an Office Administrator for ICBA, based in our Surrey, BC head office, you will report to the Events and People Manager.

This is a full-time in office position.  Hours of operation are Monday to Friday 8:30am to 4:30pm

Responsibilities

Office Administration

  • Maintain and manage operations for all office administration functions
  • Organize and distribute incoming and outgoing mail, packages, couriers
  • Answer incoming calls and emails, taking messages, and re-directing calls and emails as required
  • Greeting clients and visitors
  • Monitor and maintain office and kitchen supplies inventory
  • Manage relationships with building management, vendors, and service providers
  • Assist in organizing meetings, parties, and events
  • Perform other related duties as assigned

Accounting

  • Assist with basic accounting administration

Workforce Development

  • Assist with training data entry
  • Assist with apprenticeship data entry

Membership Support

  • Process membership payments
  • Assist with member onboarding administration

Requirements

  • Proven office management, administrative, or assistant experience
  • Outstanding communication and interpersonal skills
  • Excellent organizational and time management skills
  • Attention to detail and problem-solving skills
  • Pleasant demeanour and the ability to work with various types of personalities within an office setting
  • Proficient with Microsoft Office Suite or related software
